Executive Assistant

Kohai is seeking a highly motivated Executive Assistant who will play a key role in the administration of the entire company as well as coordination between departments. This position will report directly to the CEO.


Consistently perform administrative tasks in a timely manner while maintaining careful attention to detail, including calendar management, travel arrangements, preparing and tracking expense reports, meeting organizational deadlines, and all other needs of the executive.

Collaborate with other departments and the Operations team to ensure successful preparation and execution of domestic and international meetings, events, and projects.

Act as a focal point of contact for the company, both internally and externally, appropriately handling confidential information as necessary.

Assist with the creation of decks and pitch materials, as well as new project kick-offs.

Build efficiency and effective responsiveness into existing operations, and help define new strategies.

Assist the marketing team with community management via social channels such as Facebook, Instagram, Twitter, TikTok.

Support creative endeavors by working as a thought partner and soundboard in projects related to Music, TV/Film, Events, Creative Direction, New Business Development, and more. Coordinate events and guest lists for concerts, parties, festivals, etc.


Bachelor's degree or equivalent practical experience.

Experience in an administrative role.

Ability to read, speak, and write in English and Korean fluently.

Ability to be flexible, yet focused, across multiple time zones.

Experience in an administrative role for senior management, involving calendar management, event planning, leading projects, travel scheduling and booking, budgeting, and keeping meeting minutes.

Outstanding project, and stakeholder management skills.

Experience prioritizing multiple functions, tasks, and managing work time efficiently.

Excellent communication skills, with the ability to take initiative and build excellent, productive relationships.

Ability to adhere to an expectation of complete confidentiality on all matters.

Ability to consistently contribute in a high-paced, changing work environment.

Ability to independently lead, communicate, and collaborate with business partners and work effectively with global teams.

What to Expect

Kohai is a small tight-knit team of music lovers. Work is mostly remote and will be in-person as our events ramp back up in 2022.

While we strive to maintain a good balance between work and life, concerts and life on the road means additional time will be required at peak times including some weekends.
